DIRECTOR OF OPERATIONS & FINANCE – SALARY
Position Summary: The Director of Operations and Finance is responsible for the overall day-to-day management of the agency and leads human resources, grant administration, and administrative and financial management efforts. The position also supports the Executive Director in development efforts through communication with donors, foundations and other agency supporters.
Essential Functions include, but are not limited to:
Grant Administration (25%)
- Oversee grant calendar and reports
- Research large grant opportunities and manage grant database updates
Administrative and Financial Management (25%)
- Maintain General Ledger, Accounts Receivable, Accounts Payable and Payroll
- Grant allocation-tracking all expenses by grant, by line item, on a monthly basis
- Prepare monthly financial statements for Executive Director, including cash burn analysis
and forecasting - Provide financial reports for the Board of Directors as needed
- Work with Executive Director to prepare annual budgets for the organization
- Prepare tax filings for all Local, State and Federal entities
- Manage day-to-day administrative operations
- Oversee all business contracts for the agency
Human Resources (25%)
- Lead volunteer and staff recruitment, hiring, orientation, training and evaluation
- Oversee volunteer/staff events and recognition
- Manage and maintain personnel files
- Oversee all insurance requirements-liability and staff benefits program
Development (15%)
- Support all marketing and external communication efforts
- Represent AjA on behalf of the Executive Director
- Oversee all donor management-giving reports, acknowledgement letters and gifts, etc.
- Work with Executive Director to create and implement a fundraising plan with the BOD
- Collaborate with Executive Director to lead efforts in Program expansion
- Work with Executive Director in developing and securing major gifts
Leadership (10%)
- Proactively identify internal problems and work with E.D. to address them
- Facilitate effective accountability, staff retention and programmatic success within the organization by helping to create an internal culture that promotes initiative, appropriate risk-taking, learning, creativity, and cooperation
- Support all staff members in setting performance goals that are ambitious, achievable and tied to long-term personal and professional goals
- Outreach and initiate contact with others in order to cultivate individual donors
- Lead efforts in the area of business development for the agency by facilitating key partnerships between AjA and other organizations
- Maintain open communication between all segments of the organization, from volunteers to Board members
Knowledge, Skills and Experience:
- Solid written communication skills; ability to speak clearly about the organization’s mission
- Strong organizational skills
- Attention to detail
- Ability to meet deadlines
- Knowledge of nonprofit accounting practices
- Strong Excel skills
- Knowledge and familiarity with the Cultural Data Project
Other Requirements:
- Experience managing & overseeing direct reports
- Previous experience with grant allocation systems
- Experience working in deadline-driven environments
- Bachelors Degree, preferably Masters
- Ability to work independently, set priorities, and complete work timely and accurately
- A personal connection to the mission of the agency and a commitment to leadership development and personal growth
